Attendees: Katie Fritz, Rachel Saline, Diana Dahl, Alana Butikofer, Lucia Ratliff, Cheryle Spencer.


President Katie Fritz brought the meeting to order at 6:09pm. Upon a motion made, seconded and approved by all, the minutes from the regular meeting held July 8, 2024 were approved. With the removal of Rehearsal Recordings from the agenda, the agenda was approved.


TREASURER’S REPORT: Rachel distributed monthly reports to members present, including profit and loss through July 2024, balance sheet through August 12, 2024, and Customer Balance Sheet through August 12, 2024. Currently, the chorus is in good financial condition.


Rachel reported that the Show Committee had selected Creative Catering for the annual Christmas show.


Upon a motion made, seconded, and approved by all, the financial reports were approved.


DIRECTOR’S REPORT: Alana reported that she and other chorus members just returned from the Small Chorus Summit with Region 8 in Greeley, CO. She was asking each attendee to submit their top 5 takeaways from the school and she will compile the findings and share them with the chorus.


The date for the 2nd annual Barbershop Rendezvous has been changed to September 21, 4-6pm, at a private home.


A potluck dinner after the chorus sings the National Anthem for the Chukars game on September 4 was discussed.


SECRETARY’S REPORT: No report.


WAYS AND MEANS REPORT: Rachel and Lucia reported on a fund-raising video that required the member to monitor surveys for 31 days earning $1 for each survey. Anyone over the age of 18 could be involved for IFACC including friends and family. After some discussion the consensus was to participate in the event in January 2025.


Lucia is checking out additional fund-raising events and will report back to the Board. She is also creating an annual calendar to better organize fundraisers.


It was also mentioned that INL has community grants that will be available in the fall.


MEMBERSHIP REPORT: Katie handed Board members tips for recruiting new members, hoping to garner membership growth.


Sweet Adelines International is having a contest for chapters to submit new mission statements by the end of August via email. Katie presented a mission statement draft asking Board members to offer suggestions in the next couple days so she can send the final statement to the chorus members for a vote.

SHOW CHAIR REPORT: No report.


MARKETING/COMMUNICATIONS REPORT: No report.


PRESIDENT’S REPORT: Katie thanked the attendees from the Region 8 Small Chorus Summit in Greeley, CO.


She is looking forward to having a meeting with the Finance Committee sometime in October to discuss the financial future of the chorus.


OLD BUSINESS


SMALL CHORUS SUMMIT SCHOLARSHIPS: Attendees will submit receipts to Region 8 for reimbursement of specified amounts.


MUSIC CONTRACT: Completed music contracts from each chorus member are almost done.


P.O. BOX: Mail previously sent to the P..O. Box will be rerouted to Alana’s address at the end of August as the annual renewal was not completed. Key will then be returned to the post office.  (CLOSED)


BARBERSHOP RENDEZVOUS: Date has been set for September 21, 4-6pm and current members can start inviting friends, family, previous members. (OPEN)


LOVE NOTES: Notes of encouragement and well wishes that were comprised for chorus and quartets headed for Internation Competition in October were delivered to the said parties at the Small Chorus Summit in Greeley, CO. (CLOSED)


NEW BUSINESS


STANDING RULES ISSUE: Region 8 commented on our standing rules submitted for approval that we must specify an exact number of board members in our governance documents. After a brief discussion it was decided that the number of board members would be 6. (OPEN)


2023 HOLIDAY SHOW GUEST QUARTETS: Question was raised as to whether the guest quartets on the 2023 holiday show should have had more of their expenses reimbursed. After a short conversation it was decided to have Alana find out the specifics of their costs and report back to the Board in September. (OPEN)
